Good preparation makes the pickup inspection faster and reduces avoidable misunderstandings at delivery. The goal is not to perform major service immediately before shipping; it is to present a clean, accessible vehicle whose condition and operating details are accurately documented.
Confirm the vehicle details
Verify the year, make, model, VIN if requested, dimensions, modifications and operating condition. Tell the coordinator if the vehicle has low clearance, oversized tires, a lift kit, fluid leaks or intermittent starting problems.
A vehicle described as running should normally start, steer, roll and brake well enough for loading. If any of those functions are unavailable, disclose it before a carrier is assigned.
Clean and photograph the car
Wash enough exterior dirt away to make existing scratches, dents and paint condition visible. Take dated photos in even lighting from all four corners, each side, wheels, glass and interior.
Keep the original images at full resolution. Photographs support the written inspection but do not replace the bill of lading completed with the driver.
Remove personal and loose items
Remove valuables, toll tags, removable electronics, loose accessories and items that can shift. Personal property rules vary and may not be covered by carrier cargo insurance. Confirm any allowance before placing items in the vehicle.
Retract or remove antennas when possible, secure convertible tops and close windows and sunroofs. Disable alarms that could activate in transit.
Check basic operating condition
Check the battery, tires and obvious fluid leaks. Leave only a limited amount of fuel to reduce weight while preserving enough for loading and unloading. Do not hand over a vehicle with a known safety issue without disclosure.
Provide working keys for the ignition, doors and any relevant compartments. Keep your own spare set.
Prepare for the handoff
Confirm the pickup contact, address, phone number and accessible meeting location. Be ready to review vehicle condition with the driver and retain a copy of the signed paperwork.
At delivery, repeat the inspection before signing. If there is a concern, document it on the delivery paperwork and follow the applicable reporting procedure promptly.
